Registration Fee

Standard gross registration fee

The standard registration fee for a Congress Participant includes:

• participation in scientific sessions (workshops are subject to an additional fee),
• access to the medical exhibition,
• 3-month access to the Online Participant Zone serving as a digital participant folder,
• an electronic certificate of participation in the Congress,
• catering provided as part of the event programme.

Additional Paid Options

Workshops (maximum number of participants: 40) – the admission fee for a single workshop is PLN 60 gross* (including 23% VAT). The ticket may only be purchased after successful registration for the respective workshop/block. Registration for workshops will be available online only and will be conducted in two rounds. More information will be provided once the detailed programme has been prepared.

Accommodation packages – subject to availability, it will be possible to purchase a full participation package with accommodation from 13 to 16 October 2027 at the DoubleTree by Hilton hotel, the adjacent Focus hotel, or another hotel booked by the Organiser. The appropriate option can be selected in the registration form. The price of the accommodation package consists of the standard registration fee plus an additional accommodation fee depending on the selected hotel and room type. Notes:

1. The actual reservation of a hotel room (similarly to a place at the Congress) is confirmed only after the relevant payment has been received.
2. For online registrations, the hotel room is provisionally held for up to 7 days from the date of booking the accommodation package. Payment corresponding to the selected package should be made within this period. If payment is not received, the room will be automatically released for other bookings. If it is not possible to hold the Congress in person, any payment or overpayment will be refunded within 30 days of publication of the decision to change the format of the Congress.
3. Participants who have paid the standard registration fee may, within 7 days of submitting the registration form, request an extension of the provisional free room hold (up to 30 August 2027) by contacting the Organizing Office directly. If a free extension of the reservation is possible, confirmation of the extended reservation will be sent by email to the address provided in the registration form.
4. The registration form does not allow the purchase of a package with a place in a shared twin room – entire rooms are sold. If two participants who know each other wish to reserve a shared room, please contact the Organizing Office. Changing the accommodation option, cancelling the accommodation or cancelling participation in the Congress by either of the persons jointly reserving a room will result in the release of the entire room or the other person being required to pay the difference to the full room rate.

Social events of a non-scientific nature. If such events are organised, the Organiser will offer additional tickets for purchase. The Organiser hereby declares that participation in social events will not be financed from funds provided by member companies of INFARMA, the POLMED Chamber or MedTech Polska.

Changes to Registration and Reservations, Invoice Corrections
In the event of a duplicate invoice or invoice correction being issued and sent (unless related to cancellation of participation in the Congress), or a change of the payer or the details of the registered person made after payment has been registered, an administrative fee of PLN 70 gross will be charged for each such instance.

Payment

The registration fee should be paid only after completing the registration. Payment can be made:

• by traditional bank transfer to the following bank account of the Organizing Office:

• online via the payment gateway. Before using this payment method, please read the Online Payment Terms and Conditions applicable to sales processed by the Organizing Office. The currently available online payment methods are BLIK, Fast Online Transfer and payment cards.
  

  For online payments (PayNow), Autopay S.A. is the provider of transaction authorization services for payment cards and digital wallets (Google Pay, Apple Pay). Accepted payment cards: Visa, Visa Electron, Mastercard, MasterCard Electronic, Maestro.

Cancellation and Refund Policy

Important! The cancellation and refund terms below apply only to orders covering one participant package paid for by the respective payer. For larger orders, cancellation terms are agreed individually and depend on the size of the order.

1. The refund terms below apply both to cancellation of all ordered services and to changing from a more expensive package (e.g. with accommodation) to a less expensive one or cancelling any of the additional services ordered.
2. The refund terms in the event of participation under a group reservation, a grant covered by a separate reservation or an invitation from a company making group reservations are the same as in the case of cancellation of participation in the Congress. Therefore, all participants who have already paid individually but will ultimately participate under a group reservation, grant or company invitation and who wish to request a refund of their previously paid individual fees are asked to notify the Organizing Office of this as early as possible.
3. To obtain a refund, a written cancellation or refund request (which may be submitted electronically) must be sent to the Organizing Office. The date on which the cancellation or request is received shall be decisive:

The refund will be made directly to the bank account from which the payment was made; for other payment methods, the refund will be made to the account indicated by the participant, within 30 days of receipt of the written cancellation. In the case of companies, the refund will be made to the bank account registered with the Tax Office.
5. If the registration fee has been paid but the Participant does not attend the Congress, the fee is non-refundable, and any conference materials distributed on site will not be delivered to the absent Participant by the Organiser or the Organizing Office in any form. An absent Participant is also not entitled to receive a certificate of participation in the Congress.
